The Maritime Institute of Malaysia (MIMA) is a maritime policy research institute set up by Malaysian Government to look into matters relating to Malaysia’s interest at sea, and it also to serve a national centre for all maritime-related matters. MIMA is looking for suitable Malaysian candidates with strong interest in research-based work to fill the position of:
Positions:
1. SECRETARY
Responsibilities:
Provide full secretarial support to the Centre Head, manage the Centre’s diary and appointments;
Maintain effective filing of documentation, records, minutes, notes and correspondences;
Handle travel arrangements including accommodation, flight ticket bookings and transfer arrangements;
Provide support and assistance to the Centre Head/Senior Researchers/Researchers in managing output, workflow and deadlines;
Assist in coordinating meeting arrangements, required materials and follow up on project matters;
Liaise with other Centres especially the Administration Unit when organising conference or meeting;
Draft minutes for all meetings, memos, letters and other related documents for the Centre
Perform and relay accurate and timely messages, and respond to queries where possible; and
Undertake any other duties as directed by the Director General from time to time.

Requirements:
Posses at least a Professional Certificate or Diploma preferably in Administration, Secretarial, Office Management or any related discipline.
Preferably with at least three (3) years working experience in similar capacity.
Strong sense of confidentiality, meticulous, responsible, mature and pleasant personality.
Good command of Bahasa Malaysia and English language.
Independent while being a team player.
Good computer skills in Microsoft Word, Excel and Power Point applications.

About MIMA
The Maritime Institute of Malaysia (MIMA) – formerly known as Malaysian Institute of Maritime Affairs - is a policy research institute set up by the Malaysian Government to look into matters relating to Malaysia's interest at sea, and to serve as a national focal point for research in the maritime sector. Established in 1993, MIMA was incorporated under the Companies Act 1965, as a company limited by guarantee and not having a share capital, with its own Board of Directors.
The Institute takes a comprehensive approach in dealing with maritime issues. Its role is to deal with national, regional and global maritime matters affecting Malaysia. MIMA is therefore expected to contribute towards a meaningful, comprehensive and cogent national maritime policy for Malaysia.
One key task of the Institute is to complement the efforts of the various government agencies involved in the maritime sector by mobilising expertise to assist and support them in national maritime policy planning and implementation. The Institute’s role will be both advisory and consultative. MIMA will provide advice and second opinions to Government agencies and other relevant organisations.
